What a panel may be testing
Official programme guidance shows why question sets vary. Wright State describes its proposal defense as an oral examination of the proposal's validity and the candidate's fitness to do the work. The University of Washington's Aeronautics & Astronautics guidance asks candidates to explain the basis of procedures, results to date and alternate strategies. 1. Problem, gap and contribution
- What specific problem will this research help people understand or decide?
- What does the current literature explain, and what important uncertainty remains?
- Why is this research question narrow enough to answer within the project?
- What is the expected contribution: evidence, method, theory, practice or a combination?
- What would count as a result that challenges your starting assumption?
2. Research design and methods
- Why does this method fit the research question better than the strongest realistic alternative?
- What evidence will the design produce, and what claim can that evidence support?
- How will you select participants, cases, sources or data?
- How will you analyse the material and check that the interpretation is credible?
- What are the main threats to validity, reliability, transferability or reproducibility?
3. Ethics, data and risk
- Which people, groups or systems could be affected by the research?
- What consent, confidentiality, safeguarding, security or data-governance requirements apply?
- What is the residual risk after those controls, and why is it proportionate?
- How will you store, access, retain and dispose of research data under your institution's rules?
- Could the method, data or findings be misused, and how will you limit that risk?
4. Feasibility and project control
- What resources, permissions and expertise does the plan depend on?
- What is the critical path from approval to completion?
- What will you do if recruitment, access, equipment or data quality falls below the required level?
- Which milestones show that the project is on track?
- What is outside scope, and why is excluding it necessary?
5. Limits and follow-up
- What cannot be concluded from this design?
- Which alternative explanation would be hardest for the project to rule out?
- What would you revise if initial pilot evidence contradicts an assumption?
- How will your claim remain useful if the findings are mixed or null?
- What is the next responsible research step after this project?
Use an answer worksheet, not a script
For every question above, write five brief prompts rather than memorising a paragraph. This makes the answer adaptable when a committee changes the wording or asks a follow-up.

Question: Why interviews rather than a survey?
Answer trace: The study asks how first-time users interpret uncertainty warnings. Interview data can reveal their reasoning, while a survey would estimate predefined responses at a broader scale. The trade-off is that the study will not estimate prevalence; the proposal will make a bounded claim about the decision process and use a transparent sampling rationale.
Run a 30-minute question practice session
0–5 minutes: choose five questions covering each question family.
5–17 minutes: answer each aloud in two minutes; record only points that lack evidence, an alternative or a boundary.
17–25 minutes: ask one follow-up to each weak answer: “What would change your decision?” or “Why not the alternative?”
25–30 minutes: repair the three highest-leverage gaps in the proposal or answer notes, then schedule a retest.
Score observable answer quality: directness, evidence, method fit, limitation control and feasibility. Do not use a mock session to predict the formal outcome. Its purpose is to reduce uncertainty before the proposal is fixed.
